Proofing Guidelines & Approval Policy

Please read this page carefully before approving any proof. Approval confirms that you have reviewed and accepted all content and design details.​

Proof Delivery & Review

You will receive your final proof as a PDF via email. We strongly recommend reviewing the proof carefully and, where possible, printing it to check fonts, spacing, formatting, spelling, dates, and overall layout.

​

It is the client’s responsibility to thoroughly proofread all content before approval.

 

Client Responsibility

By approving a proof, you confirm that:

​

  • All text, images, layouts, and details are correct

  • Spelling, grammar, dates, contact information, and specifications have been verified

  • The design meets your expectations and requirements

 

Design Twist is not responsible for typographical errors, omissions, or inaccuracies in client-supplied content once written approval has been given.

 

Changes & Additional Costs

  • Any changes requested after approval may incur additional design, production, or material charges.

  • Significant revisions or changes to the original scope may require a revised quote.

  • Changes requested after the proofing stage may delay project timelines.

 

Colour, Fonts & Screen Variations

  • Colours may appear differently across monitors and devices due to calibration and settings. On-screen colour is not an exact match to the final printed output.

  • Font appearance and rendering may vary by device or software. Clients are encouraged to review proofs on multiple screens where possible.

  • A hard-copy proof may be requested for an additional fee.

Content & Copy Accuracy​

While care is taken during the design process, proofreading and content accuracy remain the client’s responsibility. Design Twist does not provide copyediting or content-writing corrections unless explicitly agreed upon in writing.

 

All content supplied by the client must be accurate, complete, and final at the time of submission.

 

Images & Resolution

Clients are responsible for supplying high-quality images suitable for print or digital use.

  • For print, images should be at least 300 DPI at the final print size

  • Low-resolution images may result in pixelation or reduced quality

  • Lower resolutions may be acceptable for large-format items viewed from a distance (e.g., banners)

 

Design Twist is not responsible for quality issues resulting from low-resolution or improperly supplied images.

Print Specifications

For print projects, clients must provide complete specifications, including size, paper type, quantities, and finishing details. Any changes after proof approval may require design adjustments and additional costs.

​

Copyright & Licensing

The client confirms that all supplied content (text, images, logos, fonts) is owned by them or properly licensed for use. Design Twist assumes no responsibility for copyright infringement or unauthorized use of materials provided by the client.

Approval, Production & Payment​

  • Written approval is required before any project proceeds to production.

  • Approval signifies final acceptance of the artwork as provided.

  • Payment is due in full upon approval unless otherwise agreed in writing.

  • Printed materials are non-refundable unless they differ from the approved proof.

 

Invoices are issued by email and include a payment due date. Overdue invoices may incur a 1.5% monthly charge. Accounts with repeated overdue balances may be sent to collections.

 

Cancellations & Holds

  • Cancellations must be requested as soon as possible.

  • Cancellation fees may apply depending on the stage of the project.

  • Projects on hold for more than 30 days are considered cancelled.

  • If a cancelled project is restarted within 30 days of the invoice date, eligible fees may be credited toward the new project.
